Workforce management in SAP

Enterprises use WORKFORCE MANAGEMENT software for needs-based personnel deployment based on production schedules.


 

WORKFORCE MANAGEMENT helps production managers and shift leaders to avoid problems resulting from personnel shortages. It closes the gap between SAP HR solutions and production, with seamless digital processes. Employee information, qualifications, shift schedules and absences are visible and linked to personnel requirements at the machines, which are in turn determined based on various production schedules.

WORKFORCE MANAGEMENT (WFM) is a flexible cloud solution and can be integrated seamlessly into SAP. For example, it can be integrated with SAP’s self-service Employee or Manager apps through a shared launchpad. That means there is no system discontinuity. The app view can be optimized for shift leaders or production managers with the WFM app or using the HCM or ERP Fiori apps.

Employees can be added externally – in WFM only – or synchronized directly from the HCM.  This means that there is no duplicate data management.  Synchronization of HCM information (work schedules, cover, absences, personnel master data) can be configured separately per employee type.

Employee scheduling is based on freely definable scheduling units, e.g. machines, machine groups or other logical units. You can define the roles or skills needed for a scheduling unit or machine and enter a master schedule that will be used as a basic framework for the next planning period.

The machine view in WORKFORCE MANAGEMENT provides an instant overview of shortfalls or duplicate coverage at individual machines. HCM synchronization ensures that vacations, sickness and secondments are taken into account directly in the shift cycle. You can immediately see which employees are actually available and schedule them for the shortfalls. The result is a staffing schedule for the machines based on reliable data.

The machine view in WORKFORCE MANAGEMENT helps the user with rapid, reliable personnel scheduling. Its optimized search function is particularly useful. For example, you can search for available workers from other production areas if you are short-handed in a particular area. It is also possible to search for employees from other areas with particular qualifications.

As well as providing a machine level view, the tool can be used to freely define teams, e.g. shift teams. The shift cycle defined in the HCM can then be shown directly in the WORKFORCE MANAGEMENT software to aid planning.

Alongside the machine level view, WORKFORCE MANAGEMENT in SAP also offers a team view. This makes it easier to allocate vacations, since rules can be defined for this purpose. For example: “I need at least x workers in each shift team.” A team calendar that displays and uses the shift model makes planning extremely simple and highly reliable.

Responding to unplanned absences

A machine operator reports in sick. The shift leader uses WORKFORCE MANAGEMENT in SAP to identify the machine where the operator was scheduled to work. There is no replacement available in this production area, but there is someone available in another area. Our SAP-based workforce management software requests this person – and the machine has an operator.

Timely replanning around bottlenecks

Another machine operator is absent, but this time there is no one available who can cover, even in the other production areas. The production manager checks whether the order can be postponed, and updates the schedules to exclude this machine. Since the reschedule was done in plenty of time, the operator’s absence doesn’t turn into delivery problems. The customer receives their order on time.

Identifying and scheduling experts

A special order needs to be completed soon. The production manager uses WORKFORCE MANAGEMENT to search for experts with knowledge of the relevant production process and plan the shift, including cover where necessary. With our workforce management software, the production manager can search through the whole company for experts.
